    Responsibilities

    Schedule:
    Monday-Friday, 9 hour shifts with a one hour lunch between 6:30am - 4:00pm
    No Weekends or Holidays
    No Overtime
     
    Job Specific Details and Tasks:
     
    • Medical record keeping and data.• Periodically review and verify outpatient health records for correct order, identify missing and misfiled documents, and verify member’s identification data in Composite Healthcare System (CHCS).
    • Maintain medical records, file reports, retrieve records, deliver/pick up records throughout NMCSD and retire records.
    • Process all requests for health information and ensure compliance with all guidance. Enter tracking information for all requests in automated system. Locate requested information, duplicate information using scanner or copier.
    • Prepare charts for provider per unit and medical record department policies.
    • Record preparation includes, but is not limited to scanning records for tracking purposes, adding necessary charting forms.
    • Compiles patient records including progress notes, orders, dictations, lab and x-ray result, consults and nursing notes after patient appointment. Responsible for assuring charts arrive at the medical records satellite chart house.
    • Utilize various computer programs and systems (such as ALTA, CHCS, Essentris and Microsoft) to update patient data.
    • Report any malfunctioning equipment for repair and any safety hazards.
    • Obtain, store, maintain and safeguard patient shadow files.
    • Additional clerical and administrative duties as assigned.
    • Assists clinic leadership regarding patient movement, tracking, and disposition.
    • Initiate, track, forward responses of telephone pages for on-call services and staff via hospital paging system
    • Provide front desk support and serve as initial POC for patients checking in for appointments and checking out from appointments. Answering calls from patients, making appointments and forwarding phone calls and patient requests appropriately.
    • Process various reports to include but not limited to patient appointment and provider schedule reports, end of day reports, access to care reports and other reports as needed.
    • Provide customer service to patients and their families. Provide directions to patients and families on date, time and location for follow-up visits, consults and procedures over the phone and in person
    • Assist with various administrative duties including photocopying, typing various documents, retrieves lab and radiology results and customer service.
    • Maintains confidentiality of patient related issues and intervenes to protect same.
    • Promotes good inter/intrapersonal and inter/intradepartmental relationships.
    • Verify third party insurance.
    • Review documents prepared for signature for compliance with departmental and command policies.

    Qualifications

    Minimum Qualifications:
    Education:  Possess a high school diploma or GED.
    Experience: 1 year experiene in medical records and medical reception/customer service
    Security:  Must be a US Citizen and must be able to pass a government background check
